How to run a meeting, what your hours cover, and what to do when something goes wrong.

Run your first meeting

  1. Put the microphone where the talking is. A laptop mic covers a small table. For a boardroom, a USB speakerphone is far better, and it is picked up automatically when you plug it in.
  2. Open Live and press Start meeting. Name it, and add a line of context if you have one, such as "supplier quoting treatment chairs". Context sharpens the names and numbers.
  3. Choose the languages. Two languages translates every line both ways. One language transcribes without translating.
  4. Let it listen. Captions appear within a second or two, notes rebuild every few minutes, and you can ask questions at any time.
  5. Press End meeting. Minutes are drafted in 30 to 90 seconds, then you can download the Word file or open a Gmail draft.
Tell the room. Say that the meeting is being transcribed and translated before you start. Some countries require everyone's consent.

During the meeting

Two languages or one
Two languages shows every line translated into the other language, with the translation as the big line, so the other side can read along. Notes are in English and the minutes come in both languages. One language shows each line as spoken, with notes and minutes in that same language. You can pair any two of the 29 languages, in either direction. Solo plans are one language; Bilingual and Pro include the pair.
The buttons and what they do
Pause stops capture and stops the clock, for a private aside. Mark flags the moment so it stands out in the notes. Notes now rebuilds the notes immediately instead of waiting for the timer. Minutes drafts minutes mid-meeting without ending it. Follow live returns to the newest line after you scroll back. Speak reads translations aloud; the microphone mutes itself while it talks so it never hears its own voice.
Keyboard shortcuts
N refresh notes · M mark this moment · P pause or resume · / jump to Ask. They work whenever you are not typing in a field.
Ask the meeting
The Ask tab answers from what has actually been said: "what price did they quote", "what did we agree on delivery". It is grounded in the transcript, so it will say when something was not discussed rather than invent it.
Speaker names
Voices start as Speaker 1, Speaker 2 and so on. Click any speaker label and choose Name this voice to rename every line that voice said, including the ones already on screen and in the minutes. If one line was attributed to the wrong person, you can reassign just that line.
Changing the microphone mid-meeting
Use the microphone dropdown in the top bar. Switching devices does not end the meeting or lose anything already captured.

After the meeting

Where the minutes live
Everything is under Meetings: the minutes, the running notes, the full transcript and the recording. Nothing expires on its own while your account is active.
Sending the minutes to people
Download Word gives you a .docx to attach or edit. Email via Gmail opens a draft with the subject filled in and the formatted minutes on your clipboard, so you press Ctrl+V (Cmd+V on a Mac) in the body. Copy for email puts the formatted minutes on the clipboard for any other mail app.
The minutes missed something, or got a name wrong
Fix the speaker names first, then use Regenerate on the meeting. The minutes are rewritten from the corrected transcript. Adding context about the meeting before you regenerate usually helps too.

Hours, plans and billing

What counts against my hours
Only audio the service actually receives. A meeting left open in a forgotten tab costs nothing, and neither does time while you are paused. Your remaining time is in the top bar during a meeting and on Account at any time.
Running out mid-meeting
We email you at 80% and again when the hours are gone. If a meeting reaches zero it ends itself and still writes the notes and minutes, so nothing is lost. Top-ups add five hours, they never expire, and they are used only after your plan hours.
Plan hours, top-up hours and the free trial
Plan hours refill at the start of each billing month and do not roll over. Top-up hours never expire. A new account gets 30 free minutes to try before any plan. Time is drawn from plan hours first, then top-ups, then the free minutes.
Invoices, changing plan, cancelling
Manage billing on the Account page opens the Stripe portal, where you can download invoices, change card, switch plan or cancel. Cancelling stops the next renewal and you keep your hours until the period ends.
Refer a friend, both get an hour
Your personal link is on the Account page. When a friend subscribes to any plan through it and their first payment goes through, you both get an extra hour that never expires. There is no limit on how many friends you refer.

On your phone

Install it on iPhone
Open app.meetlingua.com in Safari, sign in, then tap Share and Add to Home Screen. Open it from the icon and allow the microphone when asked. If the installed app asks you to sign in again, request the link from inside it rather than from Safari.
Install it on Android
Open app.meetlingua.com in Chrome, sign in, then use the three-dot menu and Install app. Chrome shares your sign-in with the installed app.
Keep the screen awake
If the phone locks for more than ten minutes mid-meeting, the microphone and connection drop and the meeting finishes itself with its notes. For a long meeting, keep the screen on or run it from a laptop.

When something is wrong

No captions appear
Check the microphone dropdown is on the device that can actually hear the room, and that the browser has microphone permission for this site. In a browser that blocks it, the address bar shows a crossed-out microphone you can click to allow. Very quiet rooms and distant speakers are the usual cause when only some lines appear.
It is transcribing in the wrong language
End the meeting and start a new one with the right pair. A meeting's languages are fixed once it starts, because the speech models are chosen at that moment.
Opening the app drops me into an old meeting
One meeting runs per account, and any device you open picks it up. Press End meeting to close it. A meeting nobody is watching, with no audio for ten minutes, now ends by itself.
Names and numbers come out wrong
Add context before the meeting: company names, product names, the people in the room. Rename the speakers as soon as you recognise a voice. Then regenerate the minutes at the end. Unfamiliar proper nouns are what speech recognition gets wrong most often.
The sign-in link did not arrive
Check spam for mail from hello@aureusautomation.com. Links last 20 minutes and can be used once. Asking for a second link within 30 seconds is blocked, so wait a moment and try again.

Privacy, in short

Your meetings are yours. Audio and text are processed to produce your captions, notes and minutes, and they are never used to train anything. You are the one recording, so tell the room first. The full detail is in the Privacy Policy and the Terms.

Still stuck

Email us with the meeting name and roughly when it happened, and we can look at what the service recorded.
